Refund/Cancellation Policy

At Bear Hugs Collective, we understand that life happens — schedules change, comfort levels shift, and sometimes unexpected things come up. Our refund and cancellation policy is designed to balance flexibility for participants with respect for the time, preparation, and space reserved for each session.

1. General Policy

All registrations and payments are final once received. However, we do offer limited credits or refunds depending on when a cancellation is made. Because our sessions are intimate and space is limited, late cancellations or no-shows prevent others from participating and still incur costs for venue rental and preparation.

2. Group Events (e.g., “Dare to Be Bear”)

Cancellations made at least 48 hours before the event:

  • Eligible for a full refund or credit toward a future event.

Cancellations made between 24–48 hours before the event:

  • Eligible for a 50% credit toward a future event (no refund).

Cancellations made less than 24 hours before the event or no-shows:

  • No refund or credit will be issued.

If the event must be canceled by Bear Hugs Collective (for weather, facilitator illness, or venue issues), all participants will receive a full refund or the option to transfer to another date.

3. Private 1-on-1 Sessions (e.g., “Bear With Me”)

Cancellations made at least 24 hours before your scheduled session:

  • Eligible for a 50% credit toward a future session.

Cancellations made within 24 hours of your scheduled time or no-shows:

  • No refund or credit will be issued.

Because time is reserved specifically for you, late cancellations or no-shows make it difficult to offer that slot to someone else.

If Bear Hugs Collective cancels your session for any reason, you’ll receive a full refund or reschedule option.

4. Payment Method & Processing

Refunds or credits are issued using the same payment method used for the original transaction (usually Venmo).
Please allow 5–7 business days for refunds to process.

If you paid through a different service, refund timing will depend on that platform’s policies.

5. Exceptions

We understand that emergencies happen. If you experience a sudden illness, accident, or personal emergency, please reach out directly to bearhugscollective@gmail.com to discuss your situation.
While we can’t guarantee a refund, we’ll always respond with compassion and do our best to accommodate reasonable requests.
